Refund & Cancellation Policy

Effective Date: 30 October 2025

At Backpacker Tours, we understand that travel plans may change. Our cancellation and refund policy is designed to be fair to both our guests and our business, as many of our tours require advance reservations with accommodation providers, transport services, guides, and activity operators.

1. Booking Confirmation                         A booking is confirmed once the required deposit or full payment has been received and a confirmation has been issued by Backpacker Tours.

2. Deposit Policy                                         A deposit may be required to secure your booking. Unless otherwise stated, deposits are "non-refundable", as they are used to secure accommodation, activities, transport, and other tour arrangements.

3. Cancellation by the Guest                 If you cancel your booking, the following charges may apply:

• More than 30 days before departure:** Refund of payments made, less the non-refundable deposit and any costs already incurred on your behalf.

• 15–30 days before departure: 50% refund of the total tour price, less any non-recoverable third-party costs.

• Less than 15 days before departure: No refund will be issued.

Refunds will be processed using the original payment method where possible.

4. No Shows                                      Guests who fail to arrive for their scheduled tour without prior notice will not be eligible for a refund.

5. Changes to Bookings          Requests to change travel dates or tour details are subject to availability and may incur additional costs from accommodation providers, transport operators, or activity suppliers.

6. Cancellation by Backpacker Tours    In the unlikely event that Backpacker Tours must cancel a tour due to circumstances within our control, guests will be offered either:

• A full refund of payments made to Backpacker Tours; or

• The option to transfer the booking to an alternative date or similar tour.

7. Force Majeure                     Backpacker Tours is not responsible for cancellations or disruptions caused by circumstances beyond our reasonable control, including but not limited to:

• Severe weather

•  Natural disasters

• Government restrictions

• Border closures

• Civil unrest

• Pandemics or public health emergencies

• Road closures or unsafe travel conditions

Where possible, we will work with guests and suppliers to reschedule the tour or provide alternative arrangements. Refunds in these circumstances will depend on the policies of our accommodation, transport, and activity partners.

8. Third-Party Service                    Some accommodations, parks, attractions, or activity providers have their own cancellation policies. Any non-refundable charges imposed by these suppliers may be deducted from any refund due.

9. Refund Processing              Approved refunds are typically processed within 14–21 business days, depending on the payment method and banking institution.

Custom-Designed Itineraries                  Planning fees for tailor-made itineraries and bespoke travel proposals may be non-refundable once significant planning work has been completed. Where such a fee applies, clients will be informed in advance.
